The equipment is largely the same wherever it is bought; what differs is who sizes it, where they put the outdoor unit, and whether they come back when it stops. The equipment is the easy part

Two quotes for the same villa can differ substantially while naming the same machine on the same wall. What separates them is the work around it: the route the pipework takes, whether a wall is chased or a duct boxed in, where the condensate drains to, what happens to the old system, and whether the electrical supply carries the new load as it stands.

None of that appears on a specification sheet, and it is most of what the price is actually for. It is also where a poor installation shows up years later, as a unit that ices up, a drain that backs into a ceiling, or a compressor cycling itself to death because it was sized for a room rather than for a house.

The useful question to put to a company is therefore not which brand it sells. It is how it arrived at the size, what it intends to do about the outdoor unit, and what the price still includes once the plasterer has gone.

What to ask before you accept a price

These are the questions that make two quotes comparable. A company that answers them readily is telling you something about how it works.

  • How the size was worked out, and on what about this property
  • Where exactly the outdoor unit goes, and what it sits on
  • What route the pipework takes, and what has to be opened to run it
  • Where the condensate drains to, and what happens when that blocks
  • Whether the electrical supply carries the new load as it stands
  • What happens to the old equipment and the refrigerant in it
  • What the price still includes once the system is switched on
  • Who comes back if it stops in the first summer, and how soon

Choosing between the quotes you get

Price alone rarely separates them, because the cheapest is usually the one that has assumed the least.

    Put them beside the same description

    One written description of the property and what you want, sent to everybody. Quotes written against different briefs are not comparable, and the gap between them tells you nothing.

    Read what each one excludes

    The exclusions are where quotes actually differ. Electrical work, making good, removing the old system and the paperwork for the connection are the usual four.

    Check the sizing reasoning, not the number

    Ask why that capacity. An answer that mentions the glazing, the orientation and how the rooms are used is a different answer from one that mentions only the square metres.

    Ask what happens afterwards

    A system needs somebody to service it. A company that works near you and expects to see the property again behaves differently from one passing through.

Do I need ducted air conditioning or split units?

It usually comes down to whether the ceilings are open. Ducted systems need a void to run in, so they are straightforward during a build or a renovation and awkward afterwards. Split units need only a wall, a pipe route and somewhere for the outdoor unit, which is why most retrofits end up there.

Can one system heat the property as well?

A reversible split system is a heat pump in the ordinary sense: it moves heat either way, so the same units that cool in August will warm rooms in February. Whether that is enough on its own depends on the building, which is what the heating and cooling systems page is for.

Does the outdoor unit have to be visible?

It has to breathe and it has to be reachable for servicing, but where it goes is usually more flexible than people expect. On protected facades, and in buildings with rules about what may hang outside, that placement is the first thing worth settling, because it decides what is possible inside.

How long does an installation take?

It depends far more on the building than on the equipment. A single unit on an outside wall is short work; a ducted system threaded through a finished house is a different job entirely, and an honest answer will be a range with the reasons attached.
