One property has a fault and it is a call. Twenty properties have faults across a season and it is a queue, and the queue is what actually goes wrong. Servicing that should have happened in April happens in July because nobody had a list, and the systems that fail are the ones nobody got to.
The second difficulty is that you are usually not the person paying. An owner in another country wants to know what is wrong, what the options are and what each costs before agreeing to anything, and the manager is the one assembling that. Comparable quotes are worth more to a manager than to almost anyone else, because the comparison is the thing being handed over.

A manager asking three companies to look at a property gets three prices that are not comparable, because each has assumed something different about what is included. The owner then asks why, and the manager spends a week finding out.
One written description of the property and the work, sent to everybody, removes most of that. It also makes the exclusions visible, which is where quotes genuinely differ: electrical work, making good, removal of the old system, and what is covered after commissioning.

Can one company service a whole portfolio?
Often, and it is worth asking for, because a single company that knows the properties keeps better records and can schedule the whole set in one pass. What matters is whether it works across the areas your properties are actually in, since the island is small but the driving is not.
When should servicing across a portfolio be scheduled?
Before the cooling season, in one planned pass, and booked well ahead of it. Everybody wants the same weeks, and a schedule agreed in winter is the difference between a full portfolio serviced in April and half of it serviced in June.
How do I compare quotes for an owner who is not here?
Give every company the same written description of the property and the work, and compare what each one excludes rather than the headline figure. An owner deciding from another country needs the differences explained, and quotes written against different briefs cannot be explained.
What should be recorded after each visit?
What was found, what was done, what was left, and readings that mean something next time. A note that says serviced is worth almost nothing in two years. A note with pressures, temperatures and the state of the coil tells the next person whether anything has changed.
Is remote monitoring worth it across several properties?
It is worth most exactly where properties stand empty, because it replaces visits that are not happening anyway. Knowing that one house has been at high humidity for three weeks is worth more than a scheduled inspection that would have found it in September.
